Welcome to Journey On Coaching. This Privacy Policy explains what personal data I collect, why I collect it, and how I keep it safe.

I’m Maddie, a certified Mind-Body Life Coach and Yoga Teacher based in the UK. I operate as a sole trader and am committed to protecting your privacy in line with the UK GDPR and Data Protection Act 2018.

3. What Information I Collect

3.1 Information You Give Me Directly:

When you:

  • Fill out a form on my site

  • Sign up for my mailing list

  • Book a discovery call

  • Become a coaching client

  • Buy a service or product from me

 I may collect:

  •  Your name, email address, phone number

  •  Payment details (processed via secure third-party platforms like Stripe/PayPal)

  • Your responses in coaching intake forms or questionnaires

  • Any messages you send or feedback you give

3.2 Information Collected Automatically:

When you visit the site, a few things happen behind the scenes:

  • Squarespace uses cookies to track basic analytics. These may include IP address, device type, pages visited, and time spent on site.

4. How I Use Your Information

I use your info to:

  • Deliver coaching and/or yoga services

  • Respond to enquiries or questions

  • Send you my newsletter (if you’ve opted in)

  • Improve my site and services

  • Keep my business legally compliant (like with taxes or coaching accreditation)

  • Keep track of sessions (with your consent) for ICF or similar requirements

I never sell your data or share it without good reason.

Under UK data law, I rely on the following lawful bases:

  • Contract – to provide services you’ve signed up for

  • Legitimate Interests – to run and improve my business

  • Legal Obligation – like tax or bookkeeping requirements

I only work with platforms I trust. They may process your data, but only to help me serve you better. These include:

  • Squarespace – website and forms

  • Google Analytics – website usage tracking

  • Stripe/PayPal – secure payment processing

  • Calendly – for booking sessions

  • Flodesk – for email marketing (if subscribed)

  • Zoom – for virtual coaching sessions

  • Fathom – used occasionally to transcribe or summarise coaching calls. Only used with client knowledge and consent.

All third-party tools I use are GDPR-compliant.

7. Cookies 

This website uses cookies to:

  • Keep the site running smoothly (essential)

  • Help me understand how you use the site so I can make it better (analytics)

  • Sometimes remember your preferences or improve performance

You can manage or disable cookies anytime via your browser settings. Just note: the site might not work quite as well without them.

8. How I Keep Your Information Safe

  • Encrypted digital storage (where applicable)

  • Password protected systems

  • Limited access (only me, or trusted professionals bound by confidentiality)

  • No storing sensitive data unless needed for our coaching relationship and if I do, it’s securely kept and never shared

9. How Long I Keep Your Data

  • Clients: Up to 7 years after our last session (for tax/legal reasons)

  • Mailing list subscribers: Until you unsubscribe

  • Enquiries/form submissions: Up to 1 year, unless you become a client

After that, I securely delete it unless I’m legally required to keep it longer.

10. Your Rights

You’ve got rights, and I fully respect them. You can:

  • Request access to your data

  • Ask me to correct or update it

  • Request I delete it (unless I need to keep it legally)

  • Withdraw consent for marketing at any time

  • Lodge a complaint with the ICO if you're not happy with how I handle your data
